The National Lead, Property Administration is a pivotal role aimed at enhancing the efficiency and

consistency of property administration across the portfolio. This position will serve as a catalyst for

incorporating and enhancing best-in-class processes, optimizing efficiency, and fostering a collaborative

network among property administrators nationwide.

This role will report to the Vice President of a centralized national services group which also includes

sustainability, innovation, and national programs. This role will be required to attend regional offices within

Canada from time to time.

These responsibilities below are intended as a general description of the tasks and types of tasks expected

in this position. These responsibilities are anticipated to evolve over time and the National Lead will have

the opportunity to define how the role evolves.

 

Roles and Responsibilities:

Core Objectives:

  • Process Standardization and Enhancement: Develop and implement standardized processes

and formalized training materials to ensure national uniformity and efficiency across the portfolio.
Identify opportunities for process enhancement, leveraging industry best practices to optimize
workflows.

  • Training and Development: Serve as the primary contact for new property administrators by

training all aspects of the property administrator role to ensure a seamless onboarding process.
Develop comprehensive national training programs and formalized training materials to enhance
the skills and knowledge of property administrators, aligning with industry standards.

  • Knowledge Sharing: Host monthly sessions with property administrators across Canada to

facilitate knowledge sharing and address any challenges or concerns. Establish a collaborative
platform for property administrators to discuss best practices, share insights, and collectively
problem-solve.

  • Quality Assurance: Implement a robust quality assurance framework, leveraging Yardi data and

other sources of information, to monitor and improve the quality of property administration
services. Conduct regular check-ins to identify areas of improvement and implement corrective
measures.Key Responsibilities

  • Assist Property Managers in implementing best practices by training and supporting new and

existing property administrators in line with the property management playbook and other
existing policies or procedures.

  • Oversee tenant relations requirements, compliance requirements, contract and vendor

management, lease administration, and training for site-level property administrators.

  • Coordinate resourcing of site-level property administrators in emergency situations and assist in

the property administrator interview and hiring process.

  • Continuously evaluate and refine processes to enhance efficiency and effectiveness.
  • Develop and deliver comprehensive onboarding training programs for new property

administrators.

  • Conduct regular training sessions to update new and existing property administrators on industry

trends and best practices.

  • Host monthly knowledge-sharing sessions for property administrators, facilitating discussions on

challenges, successes, and opportunities for improvement.

  • Act as a liaison between property management and other business teams, including property

accounting, accounts payable, asset management, REM national services, marketing, and
communications.

Requirements:

  • Engaging personality with demonstrated ability to communicate effectively and build strong and

collaborative, working relationships across multiple departments and with employees at all
levels.

  • Effective communication skills including listening skills to understand the business, pain points,

and opportunities to improve. Verbal and written communication skills to effectively present
findings and recommendations to diverse audiences and prepare and deliver training materials.

  • Business acumen including understanding of business and real estate operations, key financial

metrics, data management, good governance, and general principles of audit requirements.

  • Highly organized, initiative-taking, and ability to analyze information to break down problems and

recommend solutions and improvements.

  • Proficient in Microsoft Office 365, familiarity with VTS an asset.
  • Ability to work with minimal supervision, exercising strong diligence, initiative, and judgment.
  • Bachelor’s Degree in Commerce, Business Administration, or similar is an asset.
  • 5+ years of progressive experience in property management and administration, relevant to

commercial real estate.

  • Travel to regional offices within Canada is required based on the business needs.
