About the Position
The Administrative Clerk oversees the Maricopa County Human Services Department’s main office reception area at the downtown Phoenix location and serves as the initial point of contact for community members and program participants who may call or visit the office. This position provides highly responsible and often complex administrative support to the Assistant Directors, Director, other employees, and the public.

We Require

Six months of receptionist or administrative experience working in a high-volume office environment
-
High School Diploma or GED

Advanced skills with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)

Previous experience managing multiple executive-level calendars

Previous experience supporting employee engagement, such as committees or teams

Previous office management experience

Job Contributions

Greet, assist, and direct all visitors courteously and respectfully and ensure all visitors sign-in
-
Answer multi-line telephone promptly, courteously, and professionally; direct or transfer the caller to the appropriate employee or program personnel

Maintain schedule of conference rooms and car reservations for staff through Microsoft Outlook; respond to requests timely
-
Perform clerical and administrative duties and maintain files as needed, including updating organizational charts, program rosters, and documents assigned
-
Assist staff with administrative duties, including special projects, as directed by supervisor or department leadership and manage directors’ calendar

Help prepare/write reports, presentations, and program correspondence

Provide support and coordination for internal teams, committees, and workgroups

Route incoming and outgoing mail and manage office supplies
Working Conditions

Work is routinely performed in an office environment, which may require long periods of sitting, reading, and typing

Monday – Friday 8 a.m. to 5 p.m schedule

Requires travel to and from program sites throughout Maricopa County as well as client and contractor locations during a scheduled workday, subject to County policies regarding the use of County vehicles and/or private vehicles used on County business

Must possess or be able to obtain a valid AZ driver’s license by the time of hire

Upon hire, a background investigation and fingerprint identification are performed to secure a Level 1 Fingerprint Clearance Card
