Manage the CPO’s calendar, schedule meetings, and coordinate appointments.

Manage calendars for the People Leadership Team, scheduling meetings, appointments, and events, ensuring all commitments are met.

Travel Arrangements: Organize domestic and international travel , including booking flights, hotels, transportation, and preparing travel itineraries.
-
Expense Management: Process and reconcile expense reports, ensuring timely and accurate submission in accordance with company policies.
-
Manage the end-to-end process of spend requisitions, including preparing, submitting, and tracking purchase orders to ensure timely approvals and budget alignment.
-
Vendor management: Oversee vendor management by maintaining relationships, coordinating contract renewals, and ensuring compliance with procurement policies.
-
Meeting Coordination: Prepare agendas and meeting materials. Take meeting minutes, track follow-ups, and ensure timely completion of action items.

Team Events: Assist and plan all team outings and meet-ups which may require working after office hours occasionally.

Special Projects: Assist with special projects and initiatives, providing research, documentation, and coordination as needed.

Confidential Support: Handle sensitive information with the utmost discretion and confidentiality.

This role requires being in the office, located in the Empire State Building, a minimum of 3 days per week.

4+ years experience in a coordinator or executive assistant role

Strong communication, presentation, and coordination skills
-
Highly organized and able to manage multiple projects and meet deadlines
-
An ability to work in a fast-paced and collaborative work environment

Curiosity and Problem Solving – desire to learn and create solutions that will have an impact

Proficiency with the Google suite of tools, including Gmail, Google Slides and Google Sheets

The pay range for this position is below:
- 95,000 – 110,000 per year in New York
