Full job description

Responsible for movement of documents, handling, files and general office support activities as appropriate.

  • Responsible for the movement and filing of documents across departments.
  • Maintain general cleanliness of the department.
  • Handover pending cash bills and credit bills to credit patients, obtaining acknowledgments.
  • Make photocopies of reports and correspondence as needed.
  • Answer staff and patient queries, route them to appropriate individuals, and take messages when necessary.
  • Coordinate maintenance and repair of office equipment.
  • Obtain signatures from managers or respective officials for discounted, free, or pending cash bills.
  • Work evenings, nights, weekends, and holidays as per the schedule set by the head of the department.
  • Adhere strictly to organizational policies, especially those related to infection control, patient safety, EHSMS, HAAD, JCI, and ISO standards.
  • Support Continuous Quality Improvement and actively participate in quality assurance activities of the service.
  • Exhibit effective interpersonal skills in interactions with department staff, associates, and management.
  • Maintain confidentiality as per the signed agreement.
  • Demonstrate active listening skills to promote effective communication.
  • Develop a thorough understanding of hospital policies and procedures and show respect for them.
  • Perform other duties as assigned by the head of the department.
  • Comply with all Occupational Safety and Health (OSH) and infection control policies, standards, and procedures, cooperating with hospital management.
  • Work in accordance with documented OSH procedures and specific responsibilities.
  • Be familiar with emergency and evacuation procedures for safety preparedness.
  • Report OSH hazards, incidents, near misses, and issues, assisting in preparing risk assessments and incident reports.
  • Follow waste management procedures and policies.
  • Attend applicable OSH and infection control training programs, mock drills, and awareness sessions.
  • Use appropriate personal protective equipment (PPE) and adhere to safety protocols.
  • Qualification: Intermediate (10+2)
  • Experience: Fresher or 0–2 years in a back-office role
  • Skill Set: Active with strong interpersonal and organizational skills
  • Language: Proficient in English; Arabic is desirable but not mandatory
